Usually, the people using the Network printer face these concerns and no one can find a solution that how they can change a printer’s status to online. Investigate the Printer Connection
You can start with restarting your printer. Turn it off and wait for a few seconds before you restart it again. After that, check the printer status.
If your Printer uses the USB connection then make sure that USB port is in right working condition and the USB cable is properly connected.
If your printer used the wired connection, check the cables and make sure that they are properly plugged in the Ethernet port. If your cable is old and unable to fit then it is recommended to change the cable.
At last, if your printer is using a wireless connection, you can restart the router and check the print connection to the network.
Check the Printer Status
Press the Windows+I key from the Windows 10 PC to open the settings and go to the Devices>> Devices and Printers option.
If you see a green check mark on default printer, right-click on it and select ‘See What’s printing’. However, if a green checkmark is not present, right-click and tap on ‘Set as Default Printer’ and click ‘See What’s Printing’.
Small Windows will open on your screen. Click on the ‘Printer’ menu option and check whether the ‘Pause printing’ and ‘Use printer offline’ options are ticked. You need to remove them to turn printer online and try to print the documents again.
You can also check if there is some printing job on the same window. Delete those jobs to clear the queue. For this, you can use the ‘Cancel All Documents’ option from the ‘Printer’ menu.
Also, check if there are any printer jam errors. Clear them and remove the documents from the print queue. Try to print the documents again.
Restart the Printer Spooler Service
Printer Offline Error can also occur if the Printer Spooler Service is not working properly.
Press Windows + R key and type ‘services.msc’ in the box. Hit the Enter button.
You will see the list of services displayed on your screen. Find the Print Spooler services, its status should be ‘Running’. However, if the status is not ‘Running’, you can right-click and tap to Start.
In the same, right-click on pop-up menu and tap on Restart.
This may help you to change a printer’s status to online and after that, you can print the documents again.
Update the Printer Drivers
Press the Windows + I key and the Settings menu will open. Now, go to the Devices>> Devices and Printers.
Right-click on the ‘Printer’ and choose the provided option for removing the device.
Tap on Yes when prompted for the permission.
Reinstall the Printer via ‘Add Printer Wizard’. Get the latest printer drivers downloaded from the manufacturer’s website.
You can also navigate to the ‘Settings>> Update and Security’ and click ‘Check for update’ button.
If there is any update available, it will be installed and change a printer’s status to online.
